Turn any contact spreadsheet into an Apollo-ready CSV

Apollo's bulk import expects a specific column shape (First Name, Last Name, Title, Company Name, and so on). Most spreadsheets you receive (event rosters, conference attendees, partner lists, webinar exports, prospect scrapes, RevOps cleanups) don't match. Drop yours here and the tool reformats it. Runs entirely in your browser. Nothing uploads, no logins, no setup.

Drop the file

Drag in any contact spreadsheet you have, or click the box to pick one. Works with .xlsx, .xls, and .csv.

STEP 2

Confirm the columns

The tool reads the file and shows the first 10 rows. If the first row is a title (like "2026 Conference Registrants"), pick the actual header row from the dropdown.

Check the mapping

Each source column gets mapped to an Apollo field automatically. Yellow rows are auto-detected. Change any of them with the dropdown.

Download the CSV

Hit the yellow Download button. Then go to Apollo, open the destination list, and use Apollo's "Upload CSV" option to import.

Account owner (optional) Tag every contact with this owner's Apollo email so they're routed to the right rep on import. Leave blank to use Apollo's default routing.

What do these Apollo fields mean?

First Name + Last Name + Company Name: The three required fields. Apollo will reject any row missing all three. Email is recommended but not required (Apollo can enrich from name + company).
Title: Job title, exactly as written in the source. Empty is fine.
City / State / Country: Used by Apollo for territory routing and segmentation. Two-letter US state codes preferred.
Keywords: Comma-separated tags. Useful for capturing event-specific flags like "ACPN Experience" or "VIP Reception".
Lists: The Apollo list name to drop these contacts into. Has to match an existing list in Apollo, or it creates one on import.

Optional cleanups

These run automatically when they make sense (the tool checks them on for you when needed). Toggle off if you don't want them.

Split full names into First and Last Most external spreadsheets put the whole name in one column. Apollo wants two. The tool handles "Jane Doe", "Doe, Jane", and "Mary Anne Smith Jr".

Default Country to US when City or State is present Saves you a step if the list is US-based. Turn off if it's an international roster.

Roll up "Yes / No" flag columns into Keywords If the list has columns like "VIP Dinner: Yes" or "Attending Reception: No", the tool stores the Yes flags as Keywords on each contact instead of dropping them.

Remove duplicates (same First + Last + Company) Safe default if the source has the same person listed twice.

Advanced (QA / debug)

Add 3 fake "trap" rows for QA sanity check Adds 3 obvious-fake rows (zzz_trap_alpha, etc.) at the top of the output. Use only if you're QA-testing the transformation. Do NOT enable for a production import.

What do I do with the CSV after downloading?

1. Open Apollo: Sign in at app.apollo.io.
2. Go to People > Lists (or Sequences if you want to enroll directly): Pick the list you want these contacts in, or create one with the same name you typed in the List name field above.
3. Click "Upload CSV" inside Apollo: Apollo opens a file picker. Select the apollo-import_*.csv that just downloaded.
4. Map columns (Apollo will mostly auto-match): Because the column names in our CSV match Apollo's expected names exactly, mapping should be a one-click confirm.
5. Apollo enriches and imports: Apollo runs its enrichment (filling in email, phone, LinkedIn, etc.) and adds the contacts to your list.
